Introducing Nyota to your team

Bringing a meeting bot into team calls may feel more daunting than it actually is.

Good, glad you're here! We're happy you're actually thinking about your team's perspective and looking out for their privacy.

We know it might sound daunting to tell your team you're bringing a bot that will transcribe their conversations, but it's actually not as much of a deal as you might think.

From all of the conversations we've had so far, this is how it usually goes in case of 1:1s:

  1. Before bringing it up: "My team will not like this and they'll be super conscious"
  2. After bringing it up: "I brought it up with the team and they're fine with it and mostly curious about the results."
  3. After the first meeting: "We had Nyota on our first meeting, it was a bit awkward and we talked about it a bit at the beginning."
  4. After the second meeting: "We didn't even think about it on our second meeting, it felt pretty natural"

So even though it's pretty simple, there are three things to keep in mind when bringing it up.

Be transparent and explain why

You're adding Nyota to help the team collaborate even better, and to help you support them and remember even the small things.

It's not for micromanagement, digging through the numbers, and calling people out on them. It's for surfacing those things so you can check whether everything's ok and discuss them.

Don't force it

If anyone's uncomfortable using Nyota on their 1:1s then don't. If it affects how much they share, just turn it off. We also recommend having a 1:1 once in a while without bringing Nyota in at all.

Reiterate the confidentiality

Make it clear you're going to keep the private meetings confidential just like you would normally. No transcripts get out of the participant group.

And you and the team are in charge of how the data gets shared and its retention. For both 1:1s and team meetings you can choose to keep, lock, or delete the transcript after 24 hours. So you'd only end up with the notes as if you were writing them yourself.

So what a slack message can look like for team meetings:

Hey team, I came across Nyota (https://www.nyota.ai) and it looks like it could help us with meeting notes, and keeping track of follow ups. I'm thinking about bringing it to our next couple of standups to try it out. Let me know what you think or if you're uncomfortable with this, we can discuss that privately.

And for 1:1s

Hey, I was thinking about using Nyota (https://www.nyota.ai) for our 1:1s, it takes notes during the meetings and helps me come more prepared and better organized.

Noting that this is really to help me support you better and remember what we discussed, and if at any point you don't feel comfortable with it on our calls we can turn it off.
