Meeting stages and notes

Get the most out of Nyota by understanding the meeting workflow

1. Draft: Preparing for your meeting

  • When: Before the meeting starts.
  • What You Can Do: Set your agenda, and Nyota will suggest reminders from previous sessions that you can apply (see Reminders).
  • Syncing: Meetings get synced into Nyota only up to 14 days into the future. You can add them manually if needed.
  • Integration: If you have Slack integrated, Nyota will send you a message 1 minute before the call.
  • Tips: Define your meeting's goals and what you want to achieve for a smoother experience.

2. In Progress: During your meeting is about to begin

  • When: A minute before the meeting starts.
  • What You Can Do: Continue to edit the agenda, add notes, remove Nyota from the call, or add it back using "End call" and "Start recording."
  • Tips: Keep your agenda flexible to accommodate last-minute changes.

3. Meeting Ended: Transcript generation

  • When: Immediately after the meeting ends.
  • What Happens: Nyota bot leaves the call and begins generating a transcript, available in less than 5 minutes.
  • Caveats: Nyota won't start analyzing the meeting until all bots have generated a transcript.
  • Tips: This is a good time to reflect on your meeting and prepare for the analysis.

4. Processing: Summary and insights from your meeting

  • When: After all transcripts are finished.
  • What Happens: Nyota starts processing and analyzing the call. This can take up to 30 minutes, depending on the meeting length.
  • Caveats: If you add talking points during this stage, they might not be included in the summary. It's better to wait for an email from us.
  • Tips: This analysis will bring key insights and action points from your meeting.

5. Summary: Customizing your meeting notes

  • When: After receiving an email notification from Nyota.
  • What You Can Do: Edit notes, pick bits from the transcript, create custom notes.
  • Integration: Nyota sends a full summary to your Slack if integrated.
  • Tips: Use this stage to set actionable items and assign tasks.
