How to turn on one bot per organization in meetings?
One bot per org per meeting setting helps reduce unnecessary duplication in notes and improves your meeting experience. Because nobody wants to spend the first few minutes figuring out whose Nyota to allow into the call, right?
When enabled, user settings are overridden and at most one bot per organization will be present in any given meeting. When this setting is enabled, only one Nyota bot from each organization will automatically join a meeting at its start.
Bot priority
Nyota prioritizes the meeting organizer’s bot first. If the organizer hasn’t synced their meeting with Nyota, the bot from the first user who has synced the meeting will be selected.
If the meeting involves users from multiple organizations, each organization’s Nyota bot will be allowed to join automatically. This ensures data ownership and access rights are respected across different organizations.
How to tell which bot will join
Before the meeting, Nyota will list all the bots that will be joining automatically.
After the meeting Nyota will point you to the available notes.
Meeting hosts are still in charge
The meeting organizer still has control and can decide which Nyotas to retain or remove at the beginning of the meeting.
Manually bringing a bot in
If you still wish to bring in your Nyota manually, you can do so by going to the application and clicking "Start Recording" at any time during the meeting.
How do I know if it's on?
When this setting is one you'll see an indication of that in your settings.
How to change the settings
If you're an org admin, navigate to your Organizations -> Click on your org -> Scroll down to settings -> Check the "Only allow one Nyota from this organization per call" -> hit "Save".
Additional notes
- This setting doesn't prevent Nyota joining altogether (you should still have that control) it only prevents from multiple Nyotas per org joining automatically.
- Nyota uses calendar information to deduplicate meetings. If you add a meeting manually using a conference link this setting won't apply.
- The setting is organization specific, it doesn't take in account who hosts the meeting:
- Example: if Acme Org (3 participants) hosts a meeting and has this setting on, but Widgets Ltd (2 participants) don't: Assuming everyone uses Nyota, only one Nyota from Acme will join the call automatically, and up to two Nyotas from Widgets Ltd might still join.
My Nyota didn't join a meeting, why?
If Nyota doesn't join a meeting for some reason, you can find error logs in the right hand panel.
